Refund policy

Refund eligibility is assessed based on project progress, completed work, contractual scope, and compliance with company policies.

Refunds are generally not applicable where:

  • A customized or discounted package has been approved
  • Initial concepts or deliverables have been accepted
  • Multiple revision stages have been completed
  • Final files or assets have been delivered
  • Website development or deployment has commenced
  • The client becomes unresponsive for more than fourteen (14) consecutive days
  • Delays occur due to missing content, approvals, or required materials
  • The project direction changes substantially after commencement
  • Another agency or designer is engaged during active production
  • Terms, policies, or professional conduct standards are violated


Refunds are not available for third-party services, including but not limited to:

  • Domain registration
  • Website hosting
  • SSL certificates
  • Paid advertising services
  • SEO campaigns
  • Social media advertising or management

In certain circumstances, partial refunds may be considered at the sole discretion of Arctic Design Studios management.

Cancellation Policy

Orders cancelled within 24 hours of confirmation may be subject to administrative or preparation fees where project allocation or planning has already commenced.

Cancellation requests unrelated to service quality may also incur reasonable administrative charges.

Quality Assurance

Every project undergoes an internal quality review process to ensure professional standards in design, functionality, consistency, and delivery.

Arctic Design Studios approaches all projects with careful planning, strategic consideration, and attention to detail.

Delivery & Deployment

Completed deliverables will be supplied through the approved communication or client account channels upon project completion.

Website deployment or publication will only proceed once all outstanding balances have been settled in full.

Intellectual Property & Ownership

Ownership rights for final approved deliverables are transferred to the client only upon:

  • Full project approval
  • Receipt of complete payment

Arctic Design Studios retains ownership of all unused concepts, drafts, developmental files, working materials, and exploratory design assets produced during the project process unless otherwise agreed in writing.

Content & Website Population

Content writing, product uploads, and website population services are only included where specifically agreed or purchased as part of the project scope.

Clients are responsible for supplying accurate content, product information, imagery, and relevant media assets in the required formats.

Additional content population or bulk data entry beyond the agreed scope may incur supplementary charges.

Acceptable Content Policy

Arctic Design Studios maintains a neutral professional position and reserves the right to decline or terminate projects involving:

  • Hate speech or discriminatory content
  • Illegal or misleading activity
  • Extremist or harmful material
  • Political propaganda or ideological campaigns
  • Religious attacks or inflammatory content

Where prohibited content is introduced after project commencement, Arctic Design Studios reserves the right to terminate the agreement immediately.

Confidentiality

All client information, materials, and project-related communications are treated as confidential unless disclosure is required by law.

Both parties agree not to intentionally damage, misrepresent, or harm the professional reputation of the other party, including associated representatives, contractors, or affiliates.

Technical Support

Arctic Design Studios primarily provides creative and digital services. Ongoing technical support is limited to the scope outlined within the selected package or maintenance agreement.

Website Hosting & Deployment

  • Websites may be hosted through third-party providers selected by the client or arranged by Arctic Design Studios
  • Arctic Design Studios is not responsible for external hosting outages, server limitations, or third-party technical failures
  • Continued maintenance and support services require a separate agreement


CMS & Training

Basic guidance may be provided for supported content management systems; however, dedicated training services are not included unless separately purchased.

Email Configuration

General configuration guidance may be supplied where applicable. Arctic Design Studios is not responsible for third-party email software, device configuration, or external platform issues.

Communication Policy

All approvals, revisions, project discussions, and refund requests must be communicated through official Arctic Design Studios channels.

The company accepts no responsibility for issues arising from unofficial communication methods, unauthorized representatives, or unverified email addresses.

Termination of Services

Arctic Design Studios reserves the right to suspend or terminate services where:

  • Company policies or contractual terms are violated
  • Payments remain overdue or incomplete
  • Required project materials or approvals are not provided
  • Unethical, abusive, or inappropriate conduct occurs
  • Requests involve unlawful activity or intellectual property infringement
  • Extended inactivity exceeds fourteen (14) consecutive days
  • Operational, reputational, or legal risks arise


Upon termination:

  • Ongoing services and revisions will cease immediately
  • Deliverables may be withheld pending resolution of outstanding obligations
  • Refund eligibility, where applicable, will be reviewed in accordance with the agreed terms


All termination decisions made by Arctic Design Studios management shall be considered final.
